Eventication Event management software

Plan your crew’s work from registration to the event

Collect availability, prepare shifts and keep people informed as your plans develop.

Eventication gives crew coordinators and team leaders a shared place to manage registrations, schedules, attendance and rewards.

How crew planning works

The details a crew coordinator needs to keep together

Crew management brings registrations, shift planning, communication and attendance into the same event. Coordinators can work with individual volunteers and association leaders, then review rewards against crew records.

  • Registrations and details
  • Availability and shift preferences
  • Team leaders
  • Open shifts and available crew
  • Access, catering and equipment
  • Associations
  • Schedule confirmations and check-ins
  • Assigned, given and paid rewards

Keeping these records in one event gives coordinators and team leaders a shared starting point.

Getting started

  1. Tell us about your crew

We talk through your teams, shifts and registration process, including any associations you work with.

  2. See the workflow

We show you registration, planning and check-in, using the parts most relevant to your event.

  3. Prepare together

We agree the setup, training and support your team needs. If you need on-site help or scanning equipment, we can discuss those arrangements too.

Start with the modules you need and plan the support that suits your team.

Questions about crew management

How does self-service registration work in Eventication?

You set up an event registration page with the details you need. Crew submit their information, and your coordinators review their registrations before planning their work.

How many volunteers can Eventication handle?

Tell us how many people, teams and shifts you expect to manage. We can show you how registration and planning would be organised for that event.

Can volunteers choose their own shifts?

Yes. There are five shift picker configurations for collecting available days, job choices and station preferences. You set the limits and deadlines and remain responsible for the final schedule.

What happens when volunteers don’t show up?

Check-in records show who has arrived. The planning dashboard helps you review unfilled shifts and available crew so your coordinators can arrange cover.

Does Eventication replace Excel for crew planning?

You can use Eventication for registrations, shifts, communication and attendance. Email remains part of the workflow: crew can receive updates and reply from their inbox.

How does the QR wristband check-in work?

A scan opens the person’s record so the team can check their access. Automatic check-in actions depend on your event configuration; a scan does not automatically grant every entitlement.

How can we manage access to crew data?

Moderator permissions control who can view or edit crew information, including private data. Our privacy and security page explains what to discuss with us when reviewing your event’s requirements.

What does crew management cost?

Ask us for a quote based on your event and the modules and support you need. We can walk through the proposed setup with you.

Can I use Eventication for multiple events?

Yes. Your company can manage multiple events, and associations can work with you across editions. We can show you how to prepare a new event from an existing setup.

How does crew planning connect to on-site work?

A person’s crew, access and equipment records belong to the same event. Your gate and stock teams can use their ticket or wristband to find the relevant record when checking access or handing out equipment.
